Storage For Active Students and Staff Google Workspace Accounts Reduced to 20GB

 In response to Google’s storage policy, starting June 1, 2024, storage for active students and staff will be limited to 20GB.

Please back up your data and reduce your usage below 20GB by June 30, 2024.


Alumni Account Storage Reduced to 100MB

 In response to Google’s storage policy, starting June 1, 2024, alumni account storage will be reduced to 100MB.

Please back up your data and reduce your usage below 100MB by June 30, 2024.


Shared Drives Service Discontinued

Starting June 30, 2024, the Google Workspace Shared Drives service will be discontinued at NCCU. Please back up and delete all data in shared drives by June 30, 2024. After the service is discontinued, all data will be permanently deleted.


Accounts Exceeding Storage Limits Will Be Restricted Starting June 1, 2024

To ensure service continuity and protect the usage rights of all university users, starting from June 1, 2024, accounts exceeding the storage limits will be restricted. During the "account restriction" period, you will still be able to send and receive emails, clean up, and back up files. You have 30 days to reduce your usage below the storage limit, after which the restrictions will be lifted automatically. If usage is still above the limit after 30 days, the account will be disabled.


Account Disabling


Note: If storage issues affect the normal operation of "NCCU Google Workspace" services, all disabled accounts will be deleted early to ensure the smooth operation of the service.


The "storage limit" may be adjusted based on Google’s policies and the university’s sustainability management. Please pay attention to announcements and emails and back up your files as needed.


We strongly recommend that you take action immediately and complete the following tasks:


FAQ

1. What happens when my account is disabled? How do I resolve this? 

If your account is disabled, you will not be able to log in, view, access, or back up files, nor will you be able to send or receive emails.

(1) Users with disabled accounts can request reactivation from the Network Group within 30 days. The account will return to a restricted status, and during the next 30 days, you must reduce your usage below the storage limit. Otherwise, the account will be disabled again, files will be deleted, and no further reactivation requests will be accepted.

(2) Accounts that remain disabled for more than 30 days will be deleted, and once deleted, files and records cannot be recovered.

Note: If storage issues affect the normal operation of the "NCCU Google Workspace" service, all disabled accounts will be deleted early to ensure normal operation.

3. How can I reduce my storage usage?
(1) Delete unnecessary files and emails.

4. What if I forget my password?

5. I have multiple active accounts, such as XXX@mail2.nccu.tw and XXX@g.nccu.edu.tw. How is storage calculated?
Each active account is allocated 20GB separately.

6. I have 2 alumni accounts (SSS@g.nccu.edu.tw and SSS@mail2.nccu.tw) and 1 active account (OOO@g.nccu.edu.tw). How is storage calculated?
You have a total of 20.2GB (each alumni account has 100MB, and the active account has 20GB).

7. What happens during the "account restriction" period?
Exceeding the storage limit will place your account under restriction, with the following effects:
‧ You won’t be able to upload new files or images to Google Drive.
‧ You won’t be able to back up any photos or videos to Google Photos.
‧ You won’t be able to create new files in collaborative content creation apps (such as Google Docs, Sheets, Slides, Drawings, and Forms). No one will be able to edit or copy affected files or submit forms you own until you reduce your storage usage.
‧ You will still be able to log in, access your Google Workspace account, view, and download files. Email sending and receiving will continue as usual.

8. How long after graduation or resignation do I have to reduce my storage usage?
Please back up your data and reduce your storage usage within 30 days after graduation or resignation.

9. Will storage limits change in the future?
To sustainably manage this service, the IT Center will review storage usage based on Google’s policies and, if necessary, announce any changes to the storage policy.
